Clinical Observation Assistance Program

Introduction

The Clinical Observation Assistance Program (COAP), led by the UTD AED Clinical Outreach Committee in collaboration with UT Southwestern Medical Center (UTSW), provides pre-health students with sustained, real-world clinical exposure by pairing them with practicing healthcare providers for an entire semester. Through this immersive experience, students witness the day-to-day responsibilities of physicians across various specialties, helping them explore different fields and clarify their career goals. The semester-long structure allows students to develop strong professional relationships, fostering personalized mentorship and offering the potential for impactful letters of recommendation. By working closely with a single provider, participants receive valuable insight, firsthand advice, and guidance that extends beyond the clinic. This consistent clinical involvement not only enhances a student’s understanding of patient care but also significantly strengthens their health professional school applications by demonstrating dedication, professionalism, and a genuine passion for medicine.

How To Apply?

Step 1: Apply
Complete the COAP Application Form thoroughly and submit all required materials.

Step 2: Application Review
Our Clinical Outreach Committee carefully reviews your application and forwards eligible submissions to our UTSW program coordinator, Dr. Fowler.

 

Step 3: Provider Matching
Dr. Fowler at UT Southwestern reviews your information and pairs you with a healthcare provider based on your availability, interests, and goals.

Step 4: Connect & Schedule
Once matched, you’ll receive your provider’s contact information. It is your responsibility to reach out, coordinate your shadowing schedule, and confirm session logistics.

Step 5: Start Shadowing!
Begin your clinical observation experience! Maintain professionalism, arrive on time, and uphold all program guidelines. You’ll receive ongoing support and mentorship throughout the semester.

Eligibility & Requirements

  • Must be an active AED member in good standing 

  • Must be an “Associate” member 

  • Commitment to professional conduct and confidentiality, including compliance with HIPAA guidelines.

  • Ability to commit to scheduled shadowing hours for an entire semester and communicate availability.

  • Must have reliable transportation 

UTD AED Shadowing Policies

  • Professionalism: Participants must demonstrate punctuality, respect, and appropriate attire during all shadowing sessions.

  • Confidentiality: Completion of HIPAA training is required. Patient information must remain confidential and not be shared outside clinical settings.

  • Attendance: Students must adhere to scheduled times and promptly notify the provider and committee of any changes. Repeated absences may result in dismissal.

  • Accuracy: All application information must be truthful.

  • Placement: Submission of an application does not guarantee a shadowing placement. Assignments depend on provider availability and student commitment.

  • Liability: Participants shadow at their own risk and must follow all safety protocols. The program is not responsible for injuries incurred during shadowing.

  • Respect: Students must comply with all clinical site rules, including infection control and visitor policies.

  • Communication: Clear, respectful communication with providers and program staff is expected. 

UTSW Shadowing Policies

  • Students must always conduct themselves in a respectful and courteous manner.

  • Students must agree to always maintain patient confidentiality.

  • Students are not permitted to participate in any hands-on clinical tasks, give medical advice, or engage in any activities beyond what is explicitly approved by the site.

  • Students are expected to attend all scheduled shadowing sessions and commit to the full duration of the program.

    Shadowing sessions can range from 2 to +8 hours, depending on the provider’s schedule and your availability.

  • Q: Do I need prior clinical experience to participate?
    A:
    No, COAP is open to all UTD AED pre-health students seeking clinical exposure.

  • Q: Will I need to complete any training?
    A:
    Yes, selected students must complete HIPAA and confidentiality training before shadowing.

  • Q: What should I do if I’m running late or cannot attend a shadowing session?
    A:
    Communication and professionalism are key! Notify your assigned provider and the committee as soon as possible.

  • Q: Can I shadow more than one healthcare provider?
    A:
    Yes! If you successfully complete your initial placement and additional opportunities are available, you may be matched with other providers. Please fill out the interest form again to indicate which specialty you’d like to explore next. 

  • Q: Is there a cost associated with the COAP Program?
    A:
    Nope! The program is free for UTD AED members!

  • Q: Will I receive a certificate or official documentation of my shadowing hours?
    A:
    Some providers may offer documentation or letters verifying your shadowing hours. Check with your provider.

  • Q: How soon can I expect to be matched with a provider after submitting the application?
    A:
    Matching times vary based on availability but generally occur within 4 weeks after your application is reviewed.
